Edit Group Owners and Deputies
When personnel changes occur or you need to redistribute group management responsibilities, you can update the ownership and deputy assignments for existing groups. This ensures proper governance oversight and maintains clear accountability for group membership and access control.
Access Requirements: You must have appropriate permissions to manage the specific group you want to modify.
Use this workflow when transferring group ownership due to personnel changes, adding backup managers, or updating governance responsibilities for groups.
Before You Start
Make sure you have:
- Knowledge of who should be the new Responsible Party, Owners, or Deputies
- Understanding of the current ownership structure you're modifying
- Confirmation that new owners understand their group management responsibilities
Get Started
- Navigate to the Resource Admin portal
- Select Groups from the resource type menu
- Click the Workflows tab
- Find and click Manage Group Wizard

- Search for the group you want to modify, then check the box next to it and click Next

- Select Edit Group Owners and Deputies from the available actions

- Click Next to proceed to the ownership configuration
Edit Group Owner and Deputies
The interface is organized into three sections: assigning a responsible party, managing current owners, and managing deputies.

- Assign the Responsible Party:
- Use the search field to find and select the person with business accountability for this group.
- To change the current Responsible Party, clear the existing selection and search for a new person.
- Manage Group Owners:
- Select Owner(s) - Use the search field to find and add new owners who can manage this group.
- Current Owners are shown below with Remove/Keep options for each.
- Owners can add/remove group members and modify group settings.
- Manage Deputies:
- Select Deputies - Use the search field to find and add new backup managers for the group.
- Deputies can act as backup managers when primary owners are unavailable.
- Recommended for business continuity.
- Click Next to proceed.
Complete the Workflow
- Review the Operation Execution Summary to confirm your changes were applied successfully:
The summary shows the specific ownership assignments that were executed. - Click Submit to continue.
- Choose your next action:
- Do you want to manage the same Group? - Select this to perform additional actions on the same group.
- Do you want to manage different Group(s)? - Select this to work with other Groups.
- Do you want to finish the workflow? - Select this to complete the process and exit the wizard.
- Click Submit to proceed with your selected option.
What Happens Next
- Ownership and responsible party changes take effect immediately.
- New Owners gain access to manage group membership and settings.
- New Deputies can act as backup managers when primary owners are unavailable.
- Previous owners and deputies lose their management access abilities for this group.
- Group members may receive notifications about ownership changes depending on system configuration.
If You Run Into Problems
Can't find the person you want to assign: Verify the person exists in the system and you have permission to assign them. Contact your administrator if needed.
Changes don't appear to take effect: Ownership changes are immediate, but some interfaces may require a refresh to show updated information.
New owners can't manage the group: Ensure the new owners have appropriate access beyond just group ownership to perform management tasks.
